Terms and conditions of hire.

1. Bookings and use of the facility

• All bookings must be made through the official Olibee Sports Ltd booking system.
• Bookings commence on the hour (for example, a 7:00pm booking).
• All activity on the pitch must cease at the 55-minute mark (for example, 7:55pm for a 7:00pm booking).
• All players, equipment and spectators must have vacated the pitch and surrounding areas by the end of the booked hour to allow the next users to start promptly.
• The Hirer is responsible for ensuring all participants and spectators attending their booking follow these terms and conditions.
• Olibee Sports Ltd reserves the right to refuse entry or cancel bookings where these terms and conditions are not adhered to.

2. Payment terms

• All casual bookings must be paid for in full at the time of booking. A booking is not confirmed until payment has been received.
• Block bookings will be invoiced at the end of each calendar month.
• Payment for block bookings must be made within seven (7) days of the invoice date.
• Olibee Sports Ltd reserves the right to suspend or cancel future bookings where payment has not been received by the due date.
• Olibee Sports Ltd reserves the right to recover any outstanding amounts and may refuse future bookings from any individual, club or organisation with overdue accounts.

3. Footwear requirements

• Only football boots with plastic or rubber moulded studs are permitted on the 3G playing surface.
• Strictly prohibited: metal studs, screw-in studs, and any footwear that may damage the playing surface.
• The Hirer is responsible for ensuring that all participants wear appropriate footwear.
• A £100 fine will be charged to the person named on the booking if any participant, coach or spectator associated with their booking is found wearing prohibited footwear on the pitch.
• Olibee Sports Ltd reserves the right to remove any person wearing incorrect footwear from the facility immediately.

4. Safeguarding requirements for under-16 sessions

Any individual, club or organisation hiring the facility to deliver sessions, training or matches involving participants under the age of 16 must:

• Be affiliated to the relevant National Governing Body where applicable.
• Ensure all coaches and adults working with children hold a valid Enhanced DBS check.
• Ensure at least one responsible adult present holds a recognised First Aid qualification.
• Follow the safeguarding policies and procedures of their affiliated club and governing body.

Olibee Sports Ltd reserves the right to request evidence of DBS certification, First Aid qualifications and club affiliation before allowing the booking to proceed. Failure to provide the required safeguarding documentation may result in the booking being cancelled without refund.

5. Behaviour and conduct

All users are expected to behave in a respectful, responsible and sporting manner. The following will not be tolerated:

• Abusive, threatening or aggressive behaviour.
• Foul, offensive or discriminatory language.
• Fighting or intentional damage to the facility.
• Climbing on fences, goals or surrounding structures.
• Smoking, vaping, alcohol consumption or use of illegal substances on site.
• Any behaviour that puts other users, staff or members of the public at risk.

The Hirer is responsible for the behaviour of all players, coaches, officials, spectators and visitors associated with their booking. Olibee Sports Ltd reserves the right to remove individuals or terminate bookings immediately where behaviour is deemed unacceptable, with no refund provided.

6. Car park and surrounding areas

• Drive carefully and responsibly within the car park and school grounds.
• Vehicles must only be parked in designated parking spaces.
• No excessive noise, anti-social behaviour, littering or loitering in the car park or surrounding areas.
• Respect neighbouring properties and leave the site quietly, particularly during evening bookings.
• Any damage caused to the car park, buildings or surrounding areas may result in repair costs being charged to the Hirer.

7. Litter and cleanliness

• All rubbish generated during the booking must be removed from the pitch and surrounding areas and placed in the bins provided.
• The Hirer is responsible for ensuring the pitch, spectator areas and surrounding areas are left clean and tidy.
• Olibee Sports Ltd reserves the right to charge the Hirer for any additional cleaning costs arising from excessive litter or misuse of the facility.

8. Cancellation policy

• Bookings may be cancelled free of charge with 48 hours' notice or more before the scheduled booking time.
• Any cancellation made less than 48 hours before the booking start time will be charged at 100% of the booking fee — no refund or credit will be issued.
• Failure to attend a booked session without prior notice (a no-show) will be charged in full.
• For block bookings: where the Hirer cancels three or more sessions within any 12-week period, Olibee Sports Ltd reserves the right to terminate the block booking agreement. Future bookings may then only be accepted on a casual basis, subject to availability.
• Olibee Sports Ltd reserves the right to cancel bookings due to circumstances beyond its control, including adverse weather, facility maintenance or emergency situations. In such cases, an alternative booking date or refund will be offered.

9. Liability

• All users participate at their own risk.
• Olibee Sports Ltd accepts no responsibility for injury, loss, theft or damage to personal property while using the facility.
• The Hirer is responsible for ensuring that all participants are medically fit to take part in physical activity.
• Clubs, organisations and groups using the facility are responsible for ensuring they have appropriate insurance cover, risk assessments and safeguarding procedures in place where required.

10. Breach of these terms

Failure to comply with these terms and conditions may result in:

• Immediate removal from the facility.
• Cancellation of future bookings.
• Termination of block booking agreements.
• Financial penalties where applicable.
• Liability for any damage caused.

Olibee Sports Ltd reserves the right to amend these terms and conditions at any time.

Acceptance of terms

By making a booking, the Hirer confirms that they have read, understood and agree to these terms and conditions and accept responsibility for all individuals attending under their booking.
