Cancellation policy.

How to cancel, when you'll get a refund, and what happens if the weather or the school forces a change of plan.

Cancelling your own booking

We get it — plans change. Until our self-service cancellation flow ships, the quickest way to cancel is to email contact@olibee.org from the address you booked under, quoting your booking ID (OB-XXXX). We aim to reply within one working day.

Refund timing

  • More than 7 days before kick-off · full refund to your original card.
  • 48 hours to 7 days before kick-off · 50% refund, or full credit toward a re-booking within 60 days.
  • Less than 48 hours before kick-off · no refund, except in the circumstances below.

Refunds are returned via Stripe to the original payment method and typically land in your account within 5 — 10 working days.

Weather closures

Our 3G pitch and covered padel courts handle most British weather without drama. We will only close for:

  • Severe weather warnings (Met Office amber or red — high winds, thunderstorms, ice).
  • Standing water or surface damage that makes play unsafe.
  • Local power failure affecting the floodlights at dusk or after.

If we cancel for weather, you'll get a full refund automatically — no need to ask. We'll always try to give as much notice as the conditions allow.

School & emergency preemption

The facilities are primarily educational assets owned by Initio Learning Trust. In exceptional circumstances — emergency school closures, safeguarding concerns, or health-and-safety issues — the school may require the facilities at short notice and your booking may be cancelled. In those cases you'll get either:

  • A free reschedule to an equivalent slot within the next 60 days, or
  • A full refund to your original payment method.

No-shows

If you don't turn up for a confirmed booking, the slot is treated as used and no refund is issued. The gate code on your confirmation works for the full booking window, so even a short session counts.

Block bookings & regular hires

Block bookings and regular club hires are managed under a separate agreement. The cancellation terms above apply to one-off bookings made through this website. For block bookings, please email contact@olibee.org.

Changes to this policy

We may update this policy from time to time. The version that applies to your booking is the one in force on the day you made the booking. Material changes will be flagged on the booking confirmation page.
